Your assistant, your personality

Choose the name. Set the tone — professional, casual, or somewhere in between. Want it to be warm and encouraging? Blunt and no-nonsense? You decide. It's not a generic chatbot voice — it's a personality designed for how your team actually communicates.

Proactive, Not Reactive

Most AI waits for commands.
Yours takes initiative.

Other AI assistants sit idle until you type something. Your Datawake assistant runs 24/7 — scheduling jobs, surfacing information before you ask, and keeping your operations moving while you sleep.

Scheduled Automation

Morning briefings, weekly reports, monthly billing tasks, nightly data syncs — all running on schedule without you lifting a finger.

Smart Prep & Reminders

Before your 2pm meeting, she links the relevant documents, pulls the latest data, and reminds you of open action items — without being asked.

Always-On Monitoring

Budget thresholds, overdue invoices, missed follow-ups, stale tasks — your assistant watches for problems and flags them before they become emergencies.

The Learning Advantage

She gets smarter every week

Most AI tools are static — they work the same on day 100 as day 1. Your assistant learns continuously.

Corrections stick permanently

Say “we don't do it that way” once. The assistant remembers. No support ticket, no configuration change.

Preferences accumulate

Over weeks and months, it learns your communication style, priorities, naming conventions, and quirks.

New capabilities in days, not months

Need a new report, workflow, or integration? Datawake builds and deploys it — typically in days, not development cycles. Your support hours cover it.

Fully managed by Datawake

Your assistant learns your preferences from conversation, but new skill sets, processes, and integrations are always implemented by our team — ensuring quality and security.

Week 1

The Foundation

Handles morning briefings, basic task creation, and hours tracking. Knows your tools, learning your preferences.

Month 3

Getting Sharp

Knows your team's working styles. Anticipates needs. Drafts are 90% right on the first try. Rarely needs correction.

Month 6

A Veteran Team Member

Institutional knowledge retained. Routine operations handled independently. Only escalates genuine edge cases.

How It Works

From discovery to operational in weeks

It starts with a conversation. We learn your workflows, build your assistant, and support you as it grows.

1-2 Weeks

Build & Deploy

Datawake builds your assistant on a dedicated Mac, connects your tools, configures the personality and skills, and tests everything. Average onboarding: ~$4,000 for one user, ~$10,000 for five.

3
Ongoing

Learn & Grow

Your assistant gets smarter every week. Five included support hours per month cover refinements, new workflows, and expanding to additional team members.

Security First

Just as important as what she can do
is what she can't do

Security isn't a feature we added. It's the architecture we built everything on.

Only authorized users

Every person is individually allowlisted. Random people in your Slack workspace can't interact with her. Period.

Your own dedicated Mac

Not a shared server. Not a container. A complete, dedicated virtual Mac for your organization alone. All data, files, and systems are isolated to your machine.

Human approval required

It proposes, you approve. Emails get reviewed. Tasks get confirmed. Sensitive actions never happen without your sign-off.

Full audit trail

Every action logged. Every conversation recorded. Every configuration change version-controlled. Complete transparency.

Local data processing

Search indexing and memory run locally on your instance. Your data is never sent to a third-party service for processing.

Instant shutoff

One command stops everything. Your data stays intact. No lock-in, no data held hostage, no exit fees.

Why We Built This

We wanted a Joan.
We built one.
When she became a product, we named her Bryn.

"Smart, runs everything behind the scenes, keeps the whole organization on track. The name fit perfectly."
Bryn AI assistant avatar
The original is still called Joan. Datawake's internal assistant has been running our operations since 2025 — and she still goes by Joan every day.

When Datawake started building AI assistants for clients, we already had one of our own. We named her Joan — after Joan Holloway from Mad Men. Calm under pressure. Knows where everything is. Makes the whole organization run smoother just by being there.

Joan has been running Datawake's operations since 2025. She handles our morning briefings, tracks our hours, follows up on every client meeting, and knows our systems better than most people do. She's not a demo. She's how we actually work.

When we turned this into a product, we wanted to call it Joan. Turns out that name belongs to someone else's trademark.

So meet Bryn. Different name, same idea — a dedicated AI team member that actually knows how your organization works, because ours has been doing exactly that, every single day, for over a year.

The product is named Bryn. The original is still called Joan. We're okay with that.

Pricing

Simpler than a new hire.
More capable than you'd expect.

One flat monthly rate. No per-message fees. No surprise API charges.

The Math

10 hrs/week on admin at $40/hr = $2,000/month — just in labor. Bryn handles it 24/7, gets faster over time, and never takes PTO.

Average onboarding: ~$4,000 for one user, ~$10,000 for five users. Final pricing depends on workflow complexity, number of integrations, and team structure. Teams requiring hardened security between users or departments will increase onboarding complexity.

Fully managed by Datawake. All workflows, processes, AI configurations, and the platform are owned and maintained by Datawake. New skill sets and processes are implemented exclusively by our team — ensuring quality, security, and reliability.

How many hours per week does your team spend on status updates, hours tracking, meeting follow-up, and data entry between systems? At even $40/hr, 10 hours/week costs $2,000/month — and that's just the labor. Your assistant works 24/7, never takes PTO, and gets faster over time.

Sound Familiar?

“Things keep falling through the cracks
and nobody has time to fix it.”

These are the problems we hear from every small business and nonprofit we talk to. Not hypotheticals — the real stuff keeping you up at night.

“Things slip through the cracks.”

Follow-ups don't happen. Donor thank-yous arrive late. Grant deadlines sneak up. Client deliverables slip. Nobody's full-time job is making sure nothing gets missed — so things get missed.

“I'm wearing too many hats.”

Small business owners spend 15–30 hours a week on admin — scheduling, email, data entry, invoicing, reporting. The strategic work that grows the org? There's never time left for it.

“AI only helps when I remember to use it.”

ChatGPT is great — when you have time to open it and write a prompt. But the people who need AI most are the ones with the least time to interact with it. The tool just sits there, waiting.

“The follow-through is what kills us.”

Decisions get made. Then nothing happens. Action items from meetings vanish. The CRM doesn't get updated. The onboarding email doesn't go out. The boring middle between a decision and a result is where work stalls.

“I can't afford the person I actually need.”

The obvious fix is hiring an operations manager or executive assistant. But at $50–80K, that's not in the budget for most small businesses and nonprofits. The work just doesn't get done.

“I didn't know it was a problem until it blew up.”

Expiring contracts. Declining donor retention. A client who's gone quiet. A budget that's tracking over. Nobody has the bandwidth to watch for problems — so you only find out when it's a crisis.

Questions

What you're probably wondering

Those are general-purpose tools. This assistant is trained on YOUR Salesforce data, YOUR ClickUp workflows, YOUR email templates. She doesn't just answer questions — she takes action. She sends your weekly reports, creates your tasks, follows up on your meetings. And she remembers everything from last week's conversation.

No — that's the biggest difference. Most AI tools sit idle until you type a prompt. Your assistant runs on her own schedule, 24/7. She sends you a morning briefing before you open your laptop. She follows up on meetings you just finished. She generates weekly reports every Monday. She monitors your budget and flags problems before they escalate. You can ask her things anytime, but the real value is everything she does without being asked.

Through the tools you already use — Slack, Microsoft Teams, or even iMessage. No new app to install, no new interface to learn. Tools with channels or rooms like Slack work best because you can compartmentalize your processes. For example, in your #finance channel, the assistant gives you updates on overdue invoices and you ask her to push your email receipts to QuickBooks. In #operations, it handles task management and weekly reports. In #development, it tracks donor stewardship. Each channel gets its own context and skill set — so the assistant always knows what you're talking about.

Day one. The core skills — morning briefings, task management, hours tracking — work immediately after onboarding. By week two, meeting follow-ups and weekly reports are running. By month three, she knows your team's preferences so well that her drafts are 90% right on the first try. She compounds — every week she gets a little better.

That's exactly how we recommend it. Start with one user and the core skills — morning briefings, hours tracking, weekly reports. Prove value in week one. Add team members and capabilities as trust builds. No big-bang deployments required.

Your data never touches shared infrastructure. We use local AI for search indexing — nothing gets sent to a third party for processing. Your instance is yours alone: encrypted, backed up, and auditable. Each client gets a completely separate environment.

Datawake does — fully. Hosting, monitoring, security patches, backups, upgrades, and all configuration changes. You don't need an IT team or a developer on staff. When you want something new, you tell us in plain English and we build it. You use the assistant; we keep her running.

Yes. Each user is individually configured with their own permissions, channel access, and behavioral preferences. The assistant learns each person's communication style separately. Additional users are $600/month each for users 2–5, $500/month for users 6–10, and enterprise pricing for 11+. Each additional user also adds 1 hour of managed services per month. Each user addition includes real security configuration work — not just a license toggle.

Completely. You choose the name, the tone, the communication style — everything. Want her professional and buttoned-up? Casual and friendly? Direct and blunt? She's designed to match your team's culture, not sound like a generic chatbot. We configure the personality during onboarding, and you can refine it anytime through your support hours.

Tell us. New workflows and capabilities are typically built and deployed in days, not months. Want a new report format? An afternoon. Need to connect a new tool? A few days. Your 5 monthly support hours cover this kind of work, and additional hours are available at $205/hr.

You could — we spent 200+ hours building ours. The hard parts aren't the AI — they're the streaming, memory persistence, integration reliability, security hardening, and user management. We've already solved those and can deploy yours in two weeks.

It's month-to-month after onboarding. Annual contracts are available at a 20% discount. If you decide to part ways, we deactivate your instance and securely delete your data per our retention policy. The platform and configurations are Datawake's managed infrastructure.

Datawake was founded by Dustin Cole, a leader in nonprofit information technology management with over 10 years of Salesforce consulting experience. Dustin has worked inside hundreds of small businesses, nonprofits, and educational institutions — he knows how they actually run, where work stalls, and what it takes to get things done without a full IT department.
